Regularly check whether you still have old articles in My Product Manager. This will give you a better overview of the articles you need to keep up-to-date and prevent you from accidentally publishing old product information to your customers. But it also ensures that you have a correct data quality report and these articles are no longer called up for the audit programme.
Removal of product sheets
To prevent reuse and resale of barcodes, removal of GTINs is restricted. That way, the code remains known in Verified By GS1.
When do you remove a product sheet?
- Own-brand products
- Sheets that give technical bugs
- GTINs of which you are not the brand owner
- Product sheets without GTIN
Depublish product sheets
1. Open your product sheet and in the ‘Timings’ tab, enter the ‘End Date/Time Availability’ field. Don't forget to save and validate.
2. Do this for all product sheets in the hierarchy, validate and release the entire hierarchy and wait about 30 minutes.
3. In the ‘My publications’ tab, depublish all your products by setting the status to ‘Private’ without GLNs in the text field. Save the sheet like this.
After the date expires, your product sheet will automatically be given the status ‘Discontinued’.

Then you can use the same methodology, but via the Excel function.
- Give an end date in 1 product sheet via the interface. This is your template sheet.
- Select and export all other GTINs
- Adjust the Excel
- Import it again and make sure everything is released.
- Wait 30 minutes and depublish in bulk via the ‘My actions’ tab. You then choose the ‘Edit publications’ option via the menu button.
- As with the Excel, follow the same steps in the actions screen.
You also follow the same steps via a PIM or foreign data pool
- Release the items in your system with an end date (GDSN field: EndAvailabilityDateTime).
- Wait 24h and check in My Product Manager whether the end dates have come through. The product sheets have the status ‘Discontinued’ in the ‘My Products’ tab.
- Go to the ‘My Publications’ tab so that you can depublish the publications for the MPM targets.
- Depublish the articles in your data pool.
To ensure correct discontinuation with the data recipients of your product sheet, it is recommended to resolve your error messages. This can be done with dummy data.
